How to record outcomes and follow up no-shows with an AI assistant

An AI assistant can go through the meetings that still need an outcome, show every follow-up email first and draft a rebooking note for no-shows. You decide each one.

Before you start

  • An AI app connected to bookme with View and manage access for Meetings.
  • Meetings that have ended and still need an outcome.
1

Start the record outcomes command

In Claude pick the record outcomes command from the + menu; in Claude Code type / and pick the command that starts with mcp__bookme__. It goes through the meetings that still need an outcome. Or write it yourself:

Go through my meetings that still need an outcome. For each one, show me the meeting and the follow-up email, if any, and ask me what happened. Show me exactly what you will do and wait for my yes before you change anything.
2

Preview the follow-up emails

The assistant can preview follow-up emails for an outcome without sending anything. Ask it to preview before you decide:

For Ana's meeting yesterday, show me the exact follow-up email that would go out if I mark her as met. Do not send or save anything yet.
3

Confirm each outcome

The outcomes are Met, Decided to reschedule, I missed it and No-show. Recording an outcome that emails the invitee asks you first: the assistant shows you what will happen and waits for your yes. Your yes works once, for those exact details, for 10 minutes.

An email already sent is not recalled, even if you clear the outcome later. Check the text before you say yes.

Mark Ana as met. Show me the follow-up email she will receive and wait for my yes.
4

Follow up no-shows

The follow up no-shows command finds recent no-shows and drafts a rebooking note for you to send yourself. The assistant does not send it:

Find my no-shows from the last two weeks and draft a short rebooking note for each. Do not send anything. I will send them myself.
5

Fix a wrong outcome

If an outcome is wrong, ask the assistant to clear it. Clearing also asks you first. The meeting goes back to needing an outcome, and the assistant shows you what will happen before it does it.

6

Review in Activity

Open AI Assistants and read Activity. Rows for outcomes show Asked to confirm and then Done. Notes the assistant added to a meeting can be undone for 30 days; outcome emails that were sent cannot.

Tips

  • Ask the assistant to show you the exact email text before you agree, whichever outcome you record.
  • Webinar attendances have no outcomes.

If something goes wrong

The outcome I want asks me to confirm again.
A confirmation works once, for those exact details, for 10 minutes. If anything differs, bookme refuses and the assistant asks again.
I recorded the wrong outcome.
Ask the assistant to clear it, or use Clear outcome on the meeting in bookme. An email already sent is not recalled.
