Settings & Workspace
Profile, team, notifications, integrations, branding, AI, billing, and data. Everything you can configure across the signID workspace.
The Settings area is where you configure everything about your workspace, from personal profile to team, notifications, integrations, branding, and billing. Access it via the gear icon in the Desk sidebar.
Settings are organized into tabs:
- Profile (personal)
- Security (personal, 2FA, password, sessions)
- Team (workspace, admins only)
- Notifications (per-user and admin defaults)
- Integrations (API keys, webhooks)
- Branding (workspace, admins only)
- AI (wallet, budgets, conversation log)
- Billing (plan, subscriptions, PAYG)
- Data (export, retention)
Settings → Profile lets you update:
- Display name: shown as the sender name on envelopes you send
- Email: your login email (changing it requires verification of the new address)
- Avatar: small photo shown in the Desk and next to your name on team lists
- Time zone: affects timestamp display; defaults to browser time zone
- Language: UI language preference
Profile changes are per-user, not per-workspace. Your profile is the same everywhere you’re signed in with the same account.
Admins can invite others to the workspace from Settings → Team → Invite. Enter one or more email addresses and select a role (admin or viewer).
Invitees receive an email with a signup link:
- If they already have a signID account, they’re added to your workspace immediately
- If they don’t, they sign in (email code, Google, or password) and are then added
- The invite link expires after 7 days, resend if it expires
signID has two roles at the workspace level:
- Admin: full access; can send envelopes, invite team, edit settings, view billing, use API
- Viewer: read-only; can see envelopes and templates but cannot send or edit
Change a role from Settings → Team: click the user, pick the new role. Changes take effect immediately.
Every workspace requires at least one admin. When you try to remove or demote the last admin, you’re prompted to promote someone else first.
Settings → Notifications controls what emails and push notifications you receive as an envelope owner. Configurable per event:
- Envelope viewed by a signer
- Envelope signed by a signer
- Envelope declined
- Envelope completed (all signers done)
- Envelope about to expire
Push notifications use Firebase Cloud Messaging (FCM) and require you to grant browser or app notification permission.
You can also opt into the weekly digest, a summary of your envelopes and activity every Monday morning.
Admins can set workspace-wide notification defaults that apply to all new team members. Access from Settings → Notifications → Admin defaults.
Each notification can be:
- Default on/off: new users start with this setting but can change it individually
- Locked on/off: new and existing users cannot change it, admin choice is mandatory
Useful when compliance or team policy requires certain notifications (e.g. “everyone must receive envelope.declined alerts”) to be on regardless of individual preference.
The weekly digest is a Monday-morning email summarizing your last week on signID:
- Envelopes sent
- Envelopes signed / declined / expired
- Pending envelopes needing attention
- AI usage (if AI features are on)
- Top templates used
Enable in Settings → Notifications → Weekly digest. Off by default; opt-in.
Settings → Integrations is where developers and integration teams work:
- API keys: create, view (masked), revoke keys. Gated by
apiAccess. - Webhooks: configure endpoint URL and signing secret; test delivery; view delivery log.
- API reference: in-app interactive documentation (Scalar).
- Embedded signing: manage origin allowlist for embed sessions.
Most integration setup happens here. Non-admin users cannot see this tab.
Settings → Branding (admins only) configures white-label appearance:
- Logo upload (PNG or SVG)
- Accent color (hex)
- Company name (displayed as sender name in emails)
- Support URL (where signers go for help)
- Preview of the signer UI with your branding applied
Changes take effect for any envelope sent after saving. Existing envelopes retain the branding they were sent with.
Full details in White-Label & Branding.
Settings → Data → Export lets you download your workspace data in machine-readable form. Available exports:
- Envelope list: CSV of all envelopes with metadata
- Full bundle: ZIP containing every envelope’s PDFs, certificates, and audit JSON
- User list: CSV of workspace members
- Billing history: CSV of invoices and payments
Export is available on all plans. Useful for GDPR data-portability compliance, tax audits, or migrating to a different system.
The Danger Zone at the bottom of settings holds destructive actions:
- Delete workspace (admin only): removes the workspace and all envelopes, templates, users, and settings. Signed documents are permanently deleted after a grace period. This action cannot be undone.
- Delete your account: removes your personal signID identity. If you’re the last admin on a workspace, you must transfer ownership or delete the workspace first.
Deletion is confirmed by typing the workspace name (or your email) to avoid accidents.
