The Desk (Sender Dashboard)
Everything a sender does happens on the Desk. Track envelopes, filter by status, run quick actions, organize with folders, and act in bulk.
The Desk is signID’s sender-side dashboard, the primary workspace for anyone who sends documents for signature. It’s the first screen you see after sign-in.
The Desk gives you:
- A list of every envelope in the workspace, sortable and filterable
- Templates you can use to spin up new sends quickly
- A contacts book of past recipients
- Access to the AI Contract Studio for drafting new contracts
- Settings for team, notifications, branding, integrations, and billing
Signers do not use the Desk. They use the direct signing link or the signer portal at /my-documents.
Every envelope moves through a small, well-defined set of statuses. These are stable enums, so you’ll see the same names in the UI, the API, and webhook payloads:
- draft. You’ve created it but not sent it. Signer links have not been issued.
- pending. Sent. One or more signers still need to complete their fields.
- signed. All signers have completed. The sealed PDF is finalized (or is being assembled asynchronously).
- declined. A signer explicitly declined to sign.
- expired. An expiration date passed before all signers completed.
- cancelled. You (the sender) cancelled the envelope before it completed.
Once an envelope is signed, declined, expired, or cancelled, it is terminal, meaning it will not change status again.
Use the filter bar at the top of the envelope list to narrow down:
- Status filter. Draft, pending, signed, declined, expired, cancelled. You can combine multiple.
- Date range. Filter by creation date, sent date, or completed date.
- Sender or recipient. If your workspace has multiple senders, filter to see just yours or a teammate’s.
- Folder. Show only envelopes in a specific folder.
The search box on top of the list matches on envelope title, recipient name, and recipient email. Search results update as you type.
cancelled and expired. If you’re looking for an envelope you swear you sent but can’t find, expand the status filter to include those.Click the three-dot menu (or the row) on any envelope in the list to open its quick action menu. What you can do depends on the current status:
- Draft envelopes: continue editing, delete, duplicate.
- Pending envelopes: view details, resend reminder to a specific signer, cancel, duplicate.
- Signed envelopes: download signed PDF, download completion certificate, download complete bundle, view audit trail, view public verify page, duplicate as new envelope.
- Declined, expired, cancelled: view details, duplicate as new envelope.
Every action is audit-logged, so team members can see who resent a reminder, who cancelled, and who downloaded the sealed PDF.
Open the pending envelope, find the signer who hasn’t completed yet, and click Resend reminder. The signer receives a new email with the same signing link.
Reminder emails use your workspace’s branding (logo, from name, accent color) and are sent immediately.
For sequential envelopes, only the current active signer receives reminders. If signer A hasn’t completed yet, signer B doesn’t yet have a link, so there’s no one to remind on their side.
Open the envelope and click Cancel. Confirm the action. The envelope status changes to cancelled, and all outstanding signer links are invalidated immediately.
Cancellation:
- Cannot be undone. To send again, duplicate the envelope and create a new one.
- Removes the envelope from active tracking but keeps it in your archive (for audit purposes).
- Notifies pending signers by email that the request has been withdrawn.
Folders let you group envelopes by client, project, contract type, or however works for you. Create a folder from the sidebar and drag envelopes into it.
- Folders are workspace-wide (all admins see the same folder structure).
- Folders can be nested (folder inside folder).
- Envelopes can only live in one folder at a time.
- Filtering by folder is one of the quickest ways to slice the list.
Folders do not affect signer experience or the envelope itself. They’re purely a sender-side organization tool.
Select multiple envelopes from the list (using the checkbox on each row) to see the bulk actions bar:
- Move to folder. Reorganize many envelopes at once.
- Send reminder. Resend reminder emails to every pending signer across the selection.
- Cancel. Cancel many envelopes at once (with a confirmation step).
- Download. Download signed PDFs, certificates, or complete bundles for all completed envelopes in the selection as a single ZIP.
