Notifications & Email Settings
Control which emails go to you and your invitees. Custom sender, branding, and deliverability.
bookme sends a fixed set of transactional emails around every booking, plus the reminders and follow-ups you configure as workflows. All of them come from bookme by brandID at [email protected], and replying to any of them reaches the other person in the meeting.
1. When A Booking Is Made
To the invitee: a confirmation with the event name, the time in their time zone, the join link (or phone number or address), your name, their answers, and the Reschedule and Cancel links. The meeting reaches their calendar too: when your Google Calendar is connected, the invitee is added to your calendar event and receives Google’s invitation; otherwise a calendar file (.ics) is attached to the email.
To you: a new-booking notification with the invitee’s name and email, the time in your zone, their note and intake form answers, and a link to the booking on your Meetings page. Co-hosts of a team event receive it too.
Paid bookings: the confirmation goes out only after the payment succeeds; Stripe or PayPal sends the customer their receipt.
2. Before The Meeting
Reminders are workflows: new accounts start with a 24-hour reminder to the invitee and a 1-hour reminder to the invitee and to you. Each shows the time, the join button, and the reschedule and cancel links. Accounts without any before-event workflow still receive bookme’s built-in 24-hour and 1-hour reminders.
3. At Booking Time / Just Before
If brandID Meet or Zoom is the conferencing tool, the invitee may also receive a “meeting starts now” reminder from the conferencing tool itself, not from bookme.
4. After The Meeting
To you: the check-in email “How did your meeting with [name] go?” with four buttons: Met, Decided to reschedule, I missed, and No show, each with a link to preview the follow-up that button sends.
To the invitee: the follow-up that matches the outcome you chose, from your workflows (thank-you with your notes, “we missed each other” with a rebook link, an apology, or a reschedule link).
5. Changes
- Cancellation: the invitee gets the cancellation with your reason and a link to book again (unless you cancelled quietly); you and co-hosts get a cancellation notice. When the invitee cancels, you get the notice and they get the confirmation of their cancellation.
- Reschedule: the new time and current join link go to the invitee, to you and co-hosts, and to guests.
- They need a new time: the invitee gets the reschedule link; you are told when they pick.
- Guests: a guest you add receives an invitation with the details and calendar file (and a link to their own Meetings page if they use bookme); guests are told of cancellations and moves; you are told when a guest leaves.
6. Account And System Emails
Sign-in codes, email verification, password resets, calendar warnings when a Google connection needs to be reconnected, co-host and organization invitations, webinar invitations and reminders, overage charge notices, and gift plan expiry notices.
7. Two brandID Emails To Invitees
People who booked you receive two short promotional emails from brandID, one a week after the meeting and one two weeks after, inviting them to get their own bookme page. Each address gets them once, they carry a one-click unsubscribe, and they are not sent to people who already have a bookme account. They are not sent in your name and you do not control them.
8. Reply-To
Every email about a booking is sent by bookme but replies go to the right person: an invitee who replies to a confirmation or reminder writes to you; when you reply to a new-booking or cancellation notice you write to the invitee. Workflow emails you write reply to you.
9. Customizing Each Email
Reminder and follow-up emails are customizable on the Reminder Workflows page (subject, body, timing, and recipients). Booking confirmations and other system emails use bookme’s fixed templates.
bookme has no notification settings page. Transactional emails about your bookings always go out; everything optional is a workflow you can edit, scope, switch off, or add.
1. Always Sent (Not Switchable)
- Booking confirmation to the invitee.
- New-booking notification to you (and co-hosts).
- Cancellation and reschedule notices to everyone on the booking.
- The post-meeting check-in to you.
- Guest invitations and notices.
- Calendar, payment, and account emails.
These are the record of what happened to a booking and cannot be turned off.
2. Reminders And Follow-Ups (Reminder Workflows)
Open Reminder Workflows. Every card has an on/off toggle, and a scope of event types:
- Turn a reminder off for everything with the toggle.
- Turn it off for one event by editing the workflow and removing that event type from its scope.
- Change the timing (for example 2 hours instead of 1).
- Change who receives it: the invitee, you, or another address such as an assistant or a shared inbox.
3. Add Notifications
Use the templates gallery to add extra messages: a second reminder, a custom confirmation, a cancellation or reschedule note in your own words, a notification to another address, or a webhook. There is no limit on email reminder workflows.
4. Notifications To A Different Address
There is no separate “notifications email” field. To copy someone else, add a workflow with the “email another address” action for the trigger you need (booked, cancelled, rescheduled, before or after the event).
5. Marketing Emails
The two brandID emails sent to invitees after a meeting are outside your account and are not affected by your workflows. Invitees can unsubscribe with the link inside them.
6. Your Own Inbox
Do not mark bookme emails as spam to quiet them; edit or switch off the workflow instead, otherwise the confirmations you do want may follow into the spam folder.
You cannot. All bookme emails are sent from bookme by brandID at [email protected] on every plan. What you can control is how the email is signed, what it says, and where replies go.
1. What Invitees See
- From: bookme by brandID <[email protected]>.
- Subject and body: your name, your brand name, and the event, in bookme’s templates or in the wording you write in your workflows.
- Reply-To: you. When an invitee hits Reply, the message goes to your account email, not to the notification mailbox.
2. Why It Works This Way
Sending from your own address would require you to set up SPF and DKIM records for your domain. Sending from bookme’s domain with its own authentication keeps deliverability high for everyone and needs no DNS work from you.
3. Make Emails Feel Like Yours
- Write the subject and body of reminders and follow-ups in your voice on Reminder Workflows (merge variables fill in names and times).
- Sign them with your name and brand.
- Keep your profile photo and brand name current; they appear on your booking page, which every email links to.
4. Replies From Your Side
When you reply to a new-booking or cancellation notice, your reply goes straight to the invitee’s address.
Yes, on the Elite plan: the Elite card lists custom branding (remove bookme branding). On Starter and Pro, booking pages and emails carry a small “bookme by brandID” mark. Everything else on the page and in the email is yours.
1. On The Booking Page
Your page shows your photo, name, brand name, banner, tagline, template, colours, and event details. bookme’s presence is a small “Powered by bookme by brandID” line.
2. In Emails
Emails are sent from bookme by brandID, with a bookme header and footer around your content. Workflow emails use your subject and body, signed the way you write them.
3. What You Can Brand
- Landing template, colours, banner, and photo (Landing Templates and Settings).
- Event colours and descriptions.
- Every reminder and follow-up text (Reminder Workflows).
- Embedding the booking page inside your own website, so visitors stay on your domain.
4. Roadmap Note
The Elite card on the Upgrade plan page lists custom branding (remove bookme branding). The Pro card lists custom branding with 100 landing page designs. Check the Upgrade plan page for the current plan details.
bookme sends from its own authenticated domain, so most “I never got it” reports come down to the recipient’s filters or a mistyped address. Work through this list.
1. Ask Them To Search
Have the invitee search their mailbox for “bookme” or [email protected], and check Spam, Junk, and Gmail’s Promotions and Updates tabs. If it is there, “Not spam” plus adding the address to contacts fixes future emails.
2. Check The Address On The Booking
Open the booking on your Meetings page; the invitee’s email is shown at the top. A typo means nothing arrived and nothing will. Copy the booking’s Reschedule link and send it to the right address from your own mailbox, or cancel the booking and ask them to book again.
3. Corporate Filters
Some company mail systems quarantine automated mail. Ask the invitee to have IT allow [email protected], or to book with another address.
4. Your Own Wording
Workflow emails you write pass through the same filters as any other message. Avoid all-caps subjects, rows of exclamation marks, and “free / winner / act now” phrases, and keep the number of links small. bookme’s default wording is filter-friendly.
5. Paid Bookings
No confirmation is sent until payment completes. A customer who closed the payment page has no booking and no email; they see it on your Meetings page as a pending or unpaid row.
6. Reminders
If the confirmation arrived but a reminder did not, the cause is usually the workflow’s settings or timing.
7. Test It Yourself
Book your own event with a personal Gmail, Outlook, or iCloud address and check where the confirmation lands. Cancel the test booking afterwards from your Meetings page.
